FINAL DETAIL MEETINGS AND VENUE WALK THROUGH
If your wedding is 6 months away, you are MORE than ready to finalize all the details with us and just maybe there’s some wiggle room in your budget to add that floral installation you keep seeing on pinterest!
The Final Detail Meeting also known as “Studio Mockup Meeting” and “Venue Walk Through Meetings” are two optional meetings that give couples the perfect opportunity to review those critical details. Let’s take a close look and learn a little more about these meetings from a florist perspective.
Do Studio Mockup and Venue Walk Through Meetings occur on the same day?
Typically no. If you live out of state or “we”, your florist live in a different state than your venue, (1) meeting can be arranged to fit everyones schedule
Studio Mockup Meetings occur more often than Venue Walk Throughs as they require more planning to prepare and is a florist investment. Meetings includes reserving and ordering sample florals, processing florals, creating sample centerpiece, making sure there are extra flowers to play with, tools on hand, and rental candles/vases etc.
If your proposal includes a custom floral installation, tent rental, lounge areas, prompt ceremony/reception installation turn around, is above 15k and or collaboration with a wedding planner is needed, a Venue Walk Through Meeting is strongly advised
If needed, both meetings can be scheduled on the same day with us as an Add-On Service assuming the venue permits approx. 3-4 hours on site and will provide a meeting area/table for centerpiece discussion
Add-On Service Fee Calculation: Studio Round Trip Mileage x $2 + Double Meeting Day Rate. Rate is $250 and includes a max of 4 onsite venue hours. If tolls, parking or other travel fees like air b&b, and flying apply, these will also be calculated in.
What is the duration of each meeting and how are they scheduled?
Both meetings have a duration of 1.5 max. hours each

In House/Studio Mockup Meeting are not mandatory but are still offered to each client. Meeting occurs 3-4 months before your wedding. Most wedding proposals include this meeting at no charge
Venue Walk Through Meetings are not mandatory but are offered to each client. Meeting occurs 2-4 months before your wedding. Meetings can be scheduled with us as an Add-On Service
Add-On Service Fee Calculation: Studio Round Trip Mileage x $2 + Venue Walk Through Day Rate. Rate is $100 and includes a max of 2 onsite venue hours
If your wedding proposal does not include an In House/Studio Mockup Meeting. It can be scheduled with us as an Add-On Service
Add-On Service Fee Calculation: Your centerpiece floral cost x 3 + Day Rate. Rate is $150 and includes a max of 2 studio hours
If not included in your proposal, each meeting can be scheduled virtually via zoom at a reduced rate
What to expect during a Studio Mockup Meeting:
We’ll order and prepare a sample centerpiece for you to visually experience in person
Extra flowers will also be made available to add or change your centerpiece if needed
Sample must remain on site for design purposes and design discussion
We’ll provide rentals such as vases and candles to be selected in person during meeting
We’ll review and finalize each line item shown on proposal
We’ll review and finalize the wedding day timeline
We’ll review the plan for inclement weather and coordinate with venue via phone/email
What to expect during a Venue Walk Through Meeting:
We’ll meet your applicable vendor list in person
We’ll finalize the venue layout
We’ll review the plan for inclement weather with venue staff including what time a decision needs to be made
We’ll review and finalize the wedding day timeline
We’ll review any outstanding proposal decisions
Who attends:
It’s best if both partners can attend either meeting so that any final decisions can be made or discussed. If your fiancée or fiancé can not attend, you can bring (1) special person in their place. Studio space is limited.

What should I do before the meeting and bring:
Fill out any worksheets or questionnaires that we have sent you
Create a list of any personal items you will be providing for the wedding: favors, guest book, card box, ceremony programs, escort cards, etc.
Any drop off items for your wedding like vases or decor elements
Bring dress swatches, photos of dresses, attire
Bring sample wedding invitation
Have your Wedding Planner and Photographer timeline on hand
